Terms & Conditions – OKC Trailer Rentals

By renting equipment, trailers, machinery, or any rental item from OKC Trailer Rentals, you agree to the following terms and conditions. These terms apply to all rentals, whether booked online, by phone, or in person.

1. Rental Agreement

All rentals are subject to availability and confirmation. By placing a booking online or reserving equipment, you agree to the rental period, pricing, and all terms listed here.

The person completing the booking is responsible for the rental equipment and agrees to all terms on behalf of any operator or user of the equipment.

2. Booking Deposit

A booking deposit may be required to reserve equipment and lock in a rental date and time.

  • The booking deposit secures your reservation.
  • Booking deposits are non-refundable if the reservation is missed or canceled without sufficient notice.
  • After a completed rental, the booking deposit may be credited back toward the rental total, subject to the terms of the rental.

3. Damage Deposit

A damage deposit may be required for all rentals.

  • The damage deposit is held to cover any damage, loss, misuse, or additional charges.
  • After the rental is completed and equipment is returned in acceptable condition, the remaining damage deposit will be refunded.

If damage occurs:

  • Repair or replacement costs will be deducted from the damage deposit.
  • Customer liability is not limited to the damage deposit amount.
  • If damages exceed the deposit, the renter agrees to pay the full cost of repair, replacement, downtime, recovery, or related expenses.

4. Rental Use & Responsibility

The renter assumes full responsibility for the equipment during the rental period.

  • Equipment must be used safely and for its intended purpose.
  • The renter is responsible for all operators using the equipment.
  • The renter assumes all risk of injury, damage, or loss associated with the use of the equipment.

The renter agrees to:

  • Operate equipment in a safe and lawful manner
  • Follow all applicable laws and regulations
  • Not allow unauthorized or unqualified individuals to use the equipment

5. Prohibited Use

The following uses are strictly prohibited:

  • Reckless, negligent, or abusive operation
  • Illegal use of equipment
  • Overloading or misuse beyond intended capacity
  • Subleasing or transferring the rental to another party without approval
  • Use in a manner that could cause excessive wear or damage

6. Equipment Condition & Inspection

All equipment is provided in working condition.

  • The renter is responsible for inspecting equipment at pickup.
  • Any existing damage must be reported before leaving with the equipment.
  • Failure to report damage at pickup may result in the renter being held responsible.

7. Return Conditions

Equipment must be returned:

  • On time
  • In the same condition as received (excluding normal wear)
  • Clean and free of excessive debris (cleaning fees may apply)

Late returns may result in additional charges.

8. Late Fees & Additional Charges

Additional charges may apply for:

  • Late returns
  • Cleaning fees
  • Fuel replacement
  • Damage or repairs
  • Missing components or accessories
  • Extended rental periods without approval

9. Cancellation Policy

  • Booking deposits are non-refundable for missed appointments or last-minute cancellations.
  • Rescheduling may be allowed at the discretion of OKC Trailer Rentals.

10. Limitation of Liability

OKC Trailer Rentals is not liable for:

  • Injury, death, or property damage resulting from use of rental equipment
  • Loss of time, income, or project delays
  • Indirect or consequential damages

All use of rental equipment is at the renter’s own risk.

11. Indemnification

The renter agrees to indemnify and hold harmless OKC Trailer Rentals from any claims, damages, losses, liabilities, or expenses arising from:

  • Use or misuse of equipment
  • Injury or damage caused during the rental period
  • Violation of these terms

12. Payment & Authorization

By completing a booking:

  • You authorize OKC Trailer Rentals to charge your payment method for rental fees, deposits, damages, and additional charges.
  • You agree to pay all amounts due related to the rental.

13. Acceptance of Terms

By booking, paying, or taking possession of any rental equipment, you confirm that:

  • You have read and understand these terms and conditions
  • You agree to all policies outlined above
  • You accept full responsibility for the rental equipment
